Our client is seeking a Temporary Executive Support Assistant for a 3-month fixed-term contract based in Jersey, working 37.5 hours per week. This role presents an exciting opportunity to join a growing team within the Operations sector, dedicated to supporting the business priorities of Partners and Directors across the Channel Islands. The ideal candidate will play a crucial role in the wider Executive Support team, providing assistance to stakeholders, expanding networks across the organisation, and notably enhancing their personal and technical skills. Job Duties:
- Management of stakeholder diaries, ensuring all necessary documents are prepared for meetings.
- Proactive organisation and delegation of travel logistics, including visas, accommodation, flights, and taxis.
- Management of stakeholder meetings, including preparation, attendance, minute-taking, and action tracking.
- Coordination of specific projects and research, attending meetings to understand requirements and support delivery.
- Drafting, producing, and proofreading correspondence and documentation, ensuring compliance with brand standards.
- Monitoring stakeholder mailboxes and engaging with stakeholders on relevant matters.
- Applying knowledge of regulatory requirements to ensure compliance with organisational policies.
- Providing support on the Client Relationship Management system, including managing dashboards and opportunities.
- Event management, organisation of internal and external meetings, and general office assistance as needed.
- Collaborating with the Executive Support team to identify opportunities for efficiencies and improvements.
Job Requirements:
- Must hold 'entitled' or 'entitled to work' status; no work permit can be provided.
- Experience with desktop applications, particularly Microsoft Suite, is desirable.
- An enthusiastic and positive attitude with a desire for continual self-development.
- Strong organisational, prioritisation, and multitasking skills, capable of managing tight deadlines.
- Excellent communication and time management abilities.
- Professional demeanor with high levels of discretion and confidentiality.
